How are the Created and Modified fields populated?

Each item in NetDocuments is assigned metadata information, such as when it was created and last modified, and by whom:

This information is generated by the system, and is determined by the method of import. 

Created Date

This is the date the file was created or imported into NetDocuments.

If using ndImport, this date can be set to anything, otherwise it will default to the current date/time as the item's Created Date. 

All other methods of import use the current date/time as the item's Created Date.

Created By

This is the user who created or imported the file into NetDocuments.

If using ndImport, this name can be set to anything, otherwise it will default to "IMPORTED" as the item's Created By. 

All other methods of import use the current user's display name. What is a Display Name?

Modified Date

This is the date the file was last modified by a user.

There are different scenarios that will determine whether the modified date in Windows is used as the modified date in NetDocuments: 

  • If using ndImport, this date can be set to anything, otherwise it will default to the date/time of the local file. 
  • Browsing to the file from IE while having the ActiveX installed will import the local file's modified date.
  • Using Folder import will use the local file's modified date. 
  • ndSync will use the local file's Created and Modified dates.

NOTE: This means in some cases, the Modified Date may be earlier than the Created Date. 

The methods below will not import the modified date:

  • Drag-Drop in any browser.
  • Browsing to the file in any browser other than IE.
  • Browsing to the file from IE without the ActiveX being installed or enabled.
  • Uploading via ndOffice.

Modified By

This is the user who last modified the item.

If using ndImport, this name can be set to anything, otherwise it will default to "IMPORTED" as the item's Modified By. 

All other methods of import use the current user's display name. What is a Display Name?

Email Messages

For email messages (msg and eml files) the Modified Date corresponds to the Sent Date. 

Created Date corresponds to the message's Imported Date.

NetDocuments does not have a field for "received date." "Received by" is of course the same as To or CC.

Where it can, ndImport and the ActiveX will extract this information from msg files, but these fields can also be defined in the ndImport file.
