Being able to default a document or email's 'Activity date'

We note we cannot default a document's or email's activity date to be the create date (for a document) or sent/received date (for an email).  Which means if we wish to provide users with an 'activity date' that they can use to control the date order of items in their workspaces, they have to set it manually for every document.

Our legacy DMS (Worksite) allows us to set a default for an item's Activity Date, which means it is always populated and be used as the standard 'sort' date-order field on workspaces - but still allows a user to set that date manually if they wish to change it - which they frequently do when loading in productions or 3rd party documents, or delivering an advice that's been in draft for some time.   Our users are going to find it difficult to do without this as instead they will have to use the create date or modify date, neither of which will definitely be what they consider the 'true' date of certain items.

We really don't want to force users manually to enter a date against every item they file, though.  We would suggest it would be a useful feature to be able to set a default for the Activity date field to an document's create date and an email's sent or received date.

Hi Ian,

There is currently a way to set a custom Date type field to default the current date.  If you click the Edit button next to your date attribute you will see the option:

 

 

Would this accomplish what you are looking for?

I don't believe that Dans suggestion would achieve anything as the "Current Date" is not the email sent or received date. So I return from Christmas holidays and I file an email I received on December the 25th when I return on January 3rd.

The activity date allotted is 3rd January. So if I need to look for that email in a view which only shows the Activity date ( unless I manually change the activity date of every email I file) it will be difficult to track down.

Whilst I can view Email dates it is not available in the screen which also shows me the documents I have been working on. That is the view I need to see that I constructed a document on the 24th December. which they responded about on the 25th.

We need to be able to tell the Activity date to default to the Email date for emails.

Additionally, setting the Activity Date profile field to the email sent date needs to work both through ndSave (ndOffice) and via netdocumentsEM / ndEmail.

Thanks Dan, but for the reasons Paul Mills lays out, this wouldn't work for us.  Particularly for emails, users expect a filed  email to display in date (more specifically, date-time) order based on an email's received date-time (emails to us) or sent date-time (emails from us).  In other words, in exactly the same order they display in Outlook or any other email client. 

The date an email gets filed to Netdocs is irrelevant information.  No one cares when a fee earner or their secretary got round to doing the administrative task of filing to the DMS.  They do care about what order emails were received and sent in - so that, if necessary, they can review a chain of communications in the order sent/received.
